A client leader in manufacturing and architectural solutions sought a way to enhance their document-heavy workflows by integrating AI capabilities for efficient PDF interaction and information retrieval.

Handling extensive specifications in PDFs, often formatted using MasterFormat codes, a standardized system used in construction and design to organize project details by specific categories (e.g., materials, methods, or systems), was time-intensive for users. The goal was to enable rapid, accurate access to critical information, reduce search time, and streamline processes like bid preparation and material evaluation.

The implemented solution was an AI Chat Activation system, developed by a partner company we collaborated with, presented admin-configured questions to help users structure their queries effectively.

The solution ensures AI-generated responses are directly connected to specific pages and content, enhancing accuracy, traceability, and user trust. By ensuring responses are directly tied to the content, users can verify details easily and avoid errors. This approach streamlines workflows, enabling precise, efficient access to critical information while minimizing unnecessary or irrelevant results, ultimately improving productivity and confidence in the system’s outputs. In cases where no pertinent section was found, the system provided alternative guidance.
